Serve as Assistant Athletic Director of Internal Operations. Direct and manage P.E./Athletic facilities, including the COD pool. Serve as primary manager of arena pool operations and equipment. Direct and coordinate all venue operations including home athletic contests, building maintenance, key requests, equipment inventory, maintenance and repairs, and budget management. Synchronize all multi-use scheduling of facility and schedule all required staff. Administer liability risk management training and ensure risk management measures are put in place for P.E. facilities use. Will serve as primary budget manager for the athletic department including working with Accounts Payable, Procurement, third party vendors, coaches and staff.
Serve as primary P.E./Athletic facilities Manager (internal and external) and Aquatic Facility Manager (excludes Fitness Center) and Weight Room that includes management, maintenance, operations, risk liability coordination, scheduling, staffing, key master, safety, supplies and equipment and all purchases for P.E. facilities and Athletics.
Responsible for the daily P.E. facility operations; including operating procedures and policies, maintenance, equipment room, building services and changes in usage requirements.
Direct and oversee all internal operations of the athletic department and athletic facilities.
Develop and implement with the Athletic Director all strategic planning, project management and promotion of the Athletic Department.
Implement and oversee policies that promote safety of all student-athletes, community members and staff.
Serve as Hiring Manger for all student workers, part-time regular and part-time temp. workers for entire Athletic Department.
Provide administrative leadership, supervision, training and direction for athletic personnel and student athletes.
Assist Athletic Director in day-to-day operations and administration of the department, including all budgetary and contractual processes and needs for all sports, hiring and supervision of coaches, participate and lead staff meetings in absence of Director of Athletics.
Represent the College of DuPage Athletics with a variety of groups (NJCAA, NCAA, NAIA, N4C Conference, Region IV), as directed by the Athletic Director.
Supervise and staff personnel for PE facility daily operations and home game contest workers: Interview, hire, educate, evaluate, schedule and train (includes FWS, student workers and temp on call staff). Also, Direct regular part-time staff, I.e., Assistant Equipment Manager and all Assistant Managers of Aquatics.
Direct daily pool operations including: purchase, inventory, storage, security and maintenance of all pool chemicals, supplies and equipment.
Directs and monitors the day-to-day preparation of facilities for P.E. classes, athletic team practices, contests, including equipment setup/dismantle, uniform dispersal/retrieval and maintenance/repairs.
Serve as budget Manager for all Athletic equipment, facilities, uniforms, supplies and travel expenses including budget for pool chemicals, maintenance and supplies.
Coordinate and schedule internal and external services i.e., Engineering, Building & Grounds (field requirements for classes and contests), Custodial and COD Police, other vendors (equipment repair services) as required.
Direct game management operations of home facility contests (i.e. staffing, venue preparation, equipment (set-up and dismantle), ticket sales, security, and accommodate needs of visiting teams and referees). Ensure all rules, regulations, procedures and safety practices are enforced and incidents are corrected immediately for on-court and off-court activities.
Educate and train all personnel (i.e., faculty, coaches, part-time, FWS, student workers and temp-on-call) on safety, equipment setup/dismantle, operations of use policies and procedures, hazardous material handling and risk management.
Oversees daily equipment room operation: laundry, storage, inventory, issuance, repair and maintenance of equipment, apparel, tools and machinery for P.E./Athletics.
Directs and monitors the research, preparation and submittal of requisitions which include planning, conferring, obtaining quotes and proposing requisitions for P.E./Athletics.
Prepare and analyze budgets and create revenue and expenditure projections per each entity of P.E./Athletic on an annual basis.
Review faculty and coach requests for equipment and supplies to ensure they are within budgetary guidelines.
Plan and formulate required bids, negotiate purchase discounts and write rationales for capital and non-capital items.
Monitor accuracy of apparel, including equipment issuance and retrieval.
Be proactive and responsive to any and all changes and emergency situations as they occur.
Fulfill the role of the Director of Athletics as requested in their absence..
Other duties as assigned.
EXPERIENCE: Three to five years of experience in a college athletic pro gram, including three years in a supervisory capacity managing part time, regular and student workers required. Extensive experience and knowledge in fiscal management and budgetary decisions. Prior experience in facility and event operations, and staff scheduling and training required. Also must have experience in the following areas: manage aquatics facility, numerous staffing and administrative responsibilities. Experience with record keeping, budget management, acquisitions, inventory control, and ability to repair and maintain various P.E./Athletic equipment as required. Have proficiency in Window's computer environment with Outlook, Word and Excel software and purchasing/budgeting software.
EDUCATION: Bachelor's degree or experience in related field required. Current certification or ability to obtain a Certified Pool Operator or Aquatics Facility Operator certificate required.Current certification or ability to obtain a Certified Pool Operator or Aquatics Facility Operator certificate. Working knowledge of NJCAA, NCAA rules and regulations.
EXPERIENCE: Extensive experience in managing athletic contests in multi-use facilities, and with pool operations, and maintenance preferred.
EDUCATION: Master's Degree
Electrical equipment used for repairs, portable basketball system, ball machines, timers, clocks, public address system, computerized scoreboards, pool chemicals and pool equipment, operate tolls for installations, assembly, maintenance and repair of equipment and/or minor facility upkeep. Large capacity washers and dryers and golf cart operation. Windows Computer, copy machine and other office equipment, and operate computerized lighting system for outside Athletic Facilities.
Employee must work in a variety of working conditions at various times, days, nights, weekends and outdoors events. Employee must able to work in a fast-paced environment; be able to handle last minute decisions and multi-task to respond quickly with short turnaround requests made by coaches and faculty. Employee must be customer service oriented and experienced handling and working with hazardous pool and cleaning chemicals in wet and humid environments. Must be able to lift or move over 50lbs.
