UK Athletics is seeking a highly motivated individual with excellent communication, organizational, and analytical skills to join our team in the position of Athletic Ticket Operations Coordinator. Reporting to the Director of Ticket Operations, the Ticket Operations Coordinator assists with the management and operation of all ticketing functions for varsity sports and other special events. The University of Kentucky sponsors 22 varsity sports and provides ticketing services for Football, Men’s Basketball, Women’s Basketball, Baseball, Softball, Volleyball, Gymnastics, Men’s and Women’s Soccer, and Track & Field.
This position is responsible for day-to-day accounting and business support functions within the Ticket Office unit. The selected candidate will also manage ticket operations for one or more assigned sports, coordinate ticket fulfillment processes, assist with training and supervision of junior staff members, and provide and model exemplary customer service at all times. This position also provides backend support and technical guidance to account executives in the Ticket Sales unit. Responsibilities will include but are not limited to the following:
1. Customer Service, Ticket Sales, and Daily Office Operations (30%) a. Provide daily coverage for ticket office phones and windows; assist with monitoring queues b. Assist with ticket allocation and seat upgrade opportunities c. Serve customers and assist with selling season tickets, mini-plans, single games, group tickets, and annual fund donations d. Assist with management and supervision of student employees, interns, and part-time staff; resolve escalated customer service issues e. Assist with managing inbound ticket office email accounts and responding to inquiries f. Assist with monitoring online season ticket sales and processing applicable seat donations g. Assist with fan engagement initiatives and special projects h. Other duties as assigned
2. Daily Deposits & Accounting Support (30%) a. Coordinate batch processing/completion for Ticket Office, K Fund, and Sales Team b. Prepare daily cash/check deposits c. Complete daily deposit paperwork for Athletics Business Office d. Maintain records of all deposits on Athletics share drive e. Daily reconciliation of credit card payments between TM Charge and Archtics f. Verify eligibility for faculty/staff season ticket discounts g. Assist with tracking and processing revenue settlements from ticketing vendors h. Assist with processing payment plan batches, monitoring payment plan compliance, and resolving non-compliant accounts receivable
3. Sport/Event Ticketing Responsibilities (20%) a. Primary ticket office contact for assigned Olympic sports i. Assist with coordinating timelines, strategies, and materials related to renewals, new sales, seat allocations, printing, distribution, and reconciliation of tickets ii. Manage ticket operations (sales, will call, ticket resolution, access control, comp admission gates) for regular-season, post-season, and special events; travel as needed with teams iii. Schedule and supervise staff iv. Reconcile ticket sales and attendance v. Lead ticket operations for hosted post-season events b. Share supervisory duties for other ticketed events as needed c. Primary responsibility for interior ticketing windows/resolution at home football games; assist with mobile ticketing, guest relations, and entry gates as needed d. Assist with managing point-of-sale ticketing equipment/setup for remote box offices
4. Ticket Fulfillment & Sales Operations (20%) a. Coordinate daily printing and fulfillment of tickets to ensure timely delivery to customers b. Assist with all aspects of mobile ticketing and fan education c. Verify and reconcile incoming ticket inventories from opponents/venues; assist with processing returns as needed d. Assist with reviewing sales team transactions in Archtics to ensure accuracy of orders e. Support account executives with internal processes, invoicing and account updates
Successful candidate must effectively communicate with a variety of external customers and establish strong working relationships with departmental employees to achieve objectives in a team environment. This position requires the demonstrated ability to manage multiple projects simultaneously and to work extended hours, including nights, weekends, and holidays as needed. Bachelor’s degree from accredited institution in sports management, business, or related field. One to two years of full-time experience in ticket operations, sales, or a related area, preferably in college athletics. Full-time internships/Graduate Assistant experiences are applicable. Prior experience in a high-volume customer service environment and with supervision of part-time staff. Prior experience with cash handling, reconciliations and business procedures. Prior experience with sport responsibilities. Must be fully committed to delivering an exceptional guest experience for every customer by effectively responding and attending to customer needs. Extra consideration will be given to qualified candidates with previous experience with the Archtics ticketing system. Familiar with NCAA and SEC procedures and protocols.
