Overview of Position: Reporting to the Associate Athletic Director for Compliance for monitoring and establishing eligibility of student-athletes; organizing and maintaining recruiting records; educating, interpreting, and overseeing compliance of NCAA and Big South Conference rules. Responsible for monitoring bylaws 11, 12, 13, 14, 15, 16 and 17 and for developing compliance education and presenting to various departments. Will provide accurate interpretation of NCAA rules to coaches and relevant staff on a timely basis, and investigate and report NCAA violations, when needed. and management of athletic scholarships; and supporting the academic pursuits of the student-athletes.
Essential Duties and Responsibilities: Duties •Analyzes NCAA and Big South Conference rules and regulations governing member institutions as well as University institutional policies, develops specific procedures, and guides the implementation of these to ensure University compliance; •Evaluates and audits, internally and in conjunction with the Big South Conference, CSU Athletics compliance responsibilities and systems. Audits are used to determine the department has necessary checks and balances as well as administrative oversight to identify problems and maintain an atmosphere of compliance; •Develops and supervises systems/forms to monitor and document institutional compliance; •Systematically maintains and reviews compliance documents to ensure accuracy in all compliance areas, including eligibility certification, recruiting activities, financial aid, practice and competition, amateurism, staff size, and permissible benefits and awards. •Develops and implements educational programs for coaches, student-athletes, institutional staff, and alumni concerning limitations, interpretations, and individual compliance responsibilities; •Manages the preparation of institutional compliance reports and documents; •Maintains and manages the JUMPFORWARD Compliance Software Maintains list of required reports and their submission dates; collects and consolidates data; reviews all reports and documents for accuracy; ensures that all reports are properly prepared and submitted in a timely manner to the appropriate organization •Responsible for researching, developing, writing, making update and keeps a current compliance policies and procedures manual on file for use; •Directs and oversees ongoing programs and activities of the compliance office and subordinate functional units through proper management, planning, controlling, coordinating, negotiating, counseling, advising others, and resolving problems. •Investigates potential Big South Conference and NCAA violations by communicating with upper level management, Faculty Athletics Representative, University General Counsel and any external counsel assigned by the university; •Ensures all assigned tasks for compliance are complete and accurate with University, Big South Conference, and NCAA rules.
Compliance Data and Records Management: •Assist in serving as the contact person for the NCAA, Big South Conference and CSU Athletics Compliance; •Analyze NCAA, Big South Conference, and CSU rules and regulations governing member institutions; •Oversee Athletics Department (administration, coaches and athletes) compliance data and records with NCAA/Big South Conference/CSU policies. (IRL Placement, Recruitment Monitoring, Eligibility, Reporting); •Conduct beginning of year compliance meetings with individual teams informing them on NCAA/Big South Conference/CSU policies and eligibility requirements (Summary of NCAA Regulations); •Primary contact/management of compliance/recruiting software and student-athlete files within (JUMPFORWARD Software and CAi) and coding of student-athletes into campus student system (Jenzibar); •Monitor prospective student-athlete initial eligibility and qualifier status; •Monitor student-athlete progress towards degree (posted grades/ transcripts/credits) to conform to NCAA/Big South Conference/CSU policies; •Monitor student-athlete incoming and outgoing transfer release requests per NCAA/Big South Conference/CSU policies; •In conjunction with CSU Registrar’s Office and Associate AD for Academics, pre-evaluate and review transfer student-athlete’s eligibility information and transcripts from previous institution; •Provide NCAA eligibility status reports to coaches, staff and campus constituents, as well as the Big South Conference throughout the year; •Assist in the management of the National Letter of Intent; •Assist with athletic Scholarship Renewals and Non-Renewal in conjunction with Associate AD and Student Financial Services; •Complete required NCAA/Big South Conference Waivers on behalf of student-athletes for Initial Eligibility and Medical/Hardship; •Assist the Athletic Academic Affairs staff in managing Book Scholarships and Off Campus Living Voucher Program per Athletic Department Policy; •Responsible for researching, developing, writing, and updating a current compliance policies and procedures manual.
Reporting •Submit compliance/financial reports to outside agencies as required (NCAA and Big South Conference); •Submit Eligibility reports to the Big South Conference as directed by policy/procedure each as directed; •Remain current and proactive in NCAA and conference legislation, including attendance and participation in scheduled conference calls, Regional Rules, conference meetings, and other NCAA compliance educational organizations (NAAC, etc)
Departmental Administration: •Train and provide continuing compliance education to staff and coaches on compliance office policies and procedures; •Other duties as assigned by the Associate Athletics Director for Compliance.
Supervisor Responsibility: •Part-Time Staff and Interns
Education and/or Work Experience Requirements:
E Knowledge of NCAA rules and regulations.
Ability to interact with individuals of various social, cultural, economic and educational backgrounds; to work collaboratively and effectively with other staff; student-athletes; coaches; administrators and be able to work in time sensitive and occasional pressured environments.
Demonstrated ability to exercise sound judgment and handle confidential information with discretion and according to the Family Education Rights and Privacy Act (FERPA) guidelines.
Possess analytical and problem-solving abilities with academic staff and student-athletes; outstanding communication skills, both oral and written.
Ability to organize tasks and set priorities.
Must have total commitment to the adherence to NCAA, Big South Conference and Institutional regulations. Ability to operate basic office equipment, use Windows based PC using Microsoft Office.
Previous experience in an athletics compliance office (college, conference, or NCAA)
Thorough knowledge of NCAA rules and regulations
Ability to maintain regular, punctual attendance consistent with industry standards, other federal, state, and local standards
Nights and weekend work required as needed
Must be able to lift and carry up to 75 lbs
