This Executive Assistant (EA) position provides senior-level administrative and creative support to the Vice Chancellor for Campus Life and Inclusive Excellence. The EA manages the office affairs, supports Division-wide events and programs, schedules meetings, maintains the calendar, works closely with the senior leadership team, internal and external constituents. This position also has human resources and financial responsibilities for assigned areas within the division. Responsibilities include addressing questions and concerns from multiple constituencies and exercising independent judgment in resolution of a wide variety of Campus Life and Inclusive Excellence issues; performing budget and personnel transactions that require timeliness, confidentiality, accuracy and attention to detail, and managing multiple projects as assigned. The person in this position must demonstrate a commitment to the principles of Inclusive Excellence. This position reports to the Vice Chancellor for Campus Life and Inclusive Excellence and is a full-time, 12 month position.
Administrative Duties Take accurate notes of all meetings, write summaries and distribute to participants Assist Vice Chancellor by managing calendar and scheduling meetings, answering emails, and coordinating all program related activities Monitor and manage special projects, as assigned by Vice Chancellor Maintain timelines, update and track office workflow, including maintenance of the fund request database Work with the Office of the Chancellor to create coordinated communication flow Develop reports, proposals, and multi-media presentations using a variety of programs (Excel, Power Point, Prezi, etc.) Utilize technology such as doodle poll, survey monkey, etc. to provide effective scheduling and collaboration Serve as P-card coordinator for assigned areas with dotted line reporting to divisional budget officer for this job duty Process contracts, requisitions, invoices, purchase orders and direct pays for assigned areas with dotted line reporting to divisional budget officer for this job duty Manage Vice Chancellors website in relation to inquiries and responses
Provide requested digital research to Vice Chancellor Keep informed of advances in national student affairs issues and changes in national policy and help maintain office literacy and knowledge of those advances and changes Keep informed of events/issues in the DU community and beyond Keep informed of emerging trends and issues/events in the higher education environment.
Knowledge, Skills, and Abilities
Proficiency in Microsoft Office. Must be capable of learning and using new software systems including SCT Banner. Self-starter, able to work independently or work well with others as part of a team. Eager to learn new skills and manage multiple tasks. Ability to handle sensitive and confidential information is required. Must have exceptional interpersonal skills, excellent written and oral communication skills, and strong organizational skills. Ability to foster positive relationships for the Division with its many internal and external constituents, including parents.
Bachelor's Degree At least 2 years of relevant administrative, project management, digital communications or customer service experience
Masters degree or equivalent combination of education and experience in Student Affairs or related field At least one year of academic/higher education experience Interested in pursuing higher education opportunities at DU Familiarity with the student development and culture change theories
