Eastern University, a university of the liberal arts and sciences with graduate and professional programs located in St. Davids, Pennsylvania 15 miles west of Philadelphia, PA, invites qualified applicants to apply for the position of Director of Athletics and Athletic Development. The Director of Athletics and Athletic Development reports to the Vice Provost for Student Development and has full administrative responsibility for the NCAA DIII athletics program at Eastern University as well as fundraising and development responsibilities for the athletics department. In cooperation with or through coaches, staff and student workers, management of the department includes but is not limited to, supervision of and responsibility for the day to day management and operations of the Athletic Department, budget and personnel management, athletics facilities, game day supervision, program assessment, strategic planning, student athlete recruiting, NCAA and athletic conference affiliation and compliance, athletics personnel management, contest scheduling, contest management, continuous attention to public relations, fundraising as well as program marketing and promotion. Position Responsibilities A. Director of Athletics 1. Coordinate all athletic team schedules to ensure compliance with the guidelines established in the Department Policy Manual, the Middle Athletic Conference and NCAA Division III. 2. Hire, evaluate, and supervise full-time and part-time staff and coaches. 3. Preparation, supervision and fiscal management of departmental individual budgets for the University Intercollegiate athletic programs. 4. Purchase, schedule maintenance, and refurbish equipment and facilities. 5. Prepare departmental annual goals, strategic plans and assessments. 6. Regularly and continuously evaluate athletic programs and use results of evaluations to work toward continuous improvement. 7. Coordinate, inspire, monitor and supervise the recruitment efforts of coaches, and serve as the Athletics liaison to admissions. 8. Monitor the academic progress of student-athletes in accordance with the department and University policy. 9. Represent Eastern University and the department at all Conference meetings and regional and national meetings as asked to do so. 10. Oversee the education of athletes concerning important developmental topics including academic progress and eligibility, drug abuse, sexual and relational appropriateness, personal and spiritual wellness, departmental and university policies. 11. Agree with, promote and cooperate with the university regarding disciplinary policies student behavior and academic integrity matters. 12. Ensure all tasks, responsibilities and functions associated with the Athletic Department are completed in a professional and timely manner. 13. Manage the overall athletics budget and spending so as to come in at or below budget each fiscal year. 14. Supervise and coordinate facilities, people and resources within the Athletic Department in a cohesive manner to produce timely and positive results. 15. See that all NCAA and Middle Atlantic Conference requirements, including all required reports, are met with integrity, professionally and are on time. 16. Recognize and reward outstanding athletes and conduct of athletes at an end-of-the-year athletic awards program. 17. Coordinate related transportation services and scheduling, including Student Development owned vans and all van and bus rentals for athletics. 18. Work with the balance of athletics staff to provide preparation for and on site supervision of all home contests (field and indoor facility preparation, rental facilities, officials, spectator behavior, etc.) 19. Through rental/lease/borrow secure facilities needed for athletics 20. Provide oversight to the Fitness Center. 21. Serve on University committees as requested. 22. Manage Athletics reports, goal setting and strategic planning. 23. Attend University admissions open houses and recruitment meetings as requested. 24. B. Director of Athletic Development 1. Work with the University Advancement Office to administer an effective and continuously improving relationships with internal and external constituencies through friend-raising and maintaining an aggressive, regularized fundraising program. 2. Generate friends and funds for the Athletic Department and Eastern University through personal interaction and solicitation including but not limited to: a. Telephone, email, mailings b. Lunches, dinners, visits c. Reunions and honor programs d. Golf, sporting or other events. e. Partnerships f. Parent and alumni relationships g. Sponsors and advertisers 3. Maintain an emphasis on annual or perpetual acquisition of funds and gifts that are “unrestricted athletics funds” (funds that are not specifically restricted to a specific sports team or project). 4. Keep detailed and accurate records regarding funds raised and present monthly status reports to the VP for Student Development 5. Raise funds within University and NCAA standards and parameters 6. Increase the donor base annually, by reaching out to and securing new donors and improving and growing the fundraising program 7. Work with head coaches and Assistant Director of Athletic Development to expand each individual team’s fundraising programs with a specific emphasis on creating programs that empower coaches to independently and actively fundraise for their team(s). 8. Monitor coaches expenditures of fundraised monies. 9. Work with the Conferences and Special Events Department to maximize fundraising from athletic facilities during all available time periods throughout the year. 10. Oversee the Eagle Club and it’s initiatives including: a. Hall of Honor Program b. Homecoming Program c. Spring Athletic Awards Program d. Golf Fundraising Event 11. Work intentionally and often with the University Advancement Office to ensure proper coordination of all fundraising efforts including but not limited to policies, solicitation, acknowledgment/receipts and financial tracking/coordination. 12. Ensure that members of the athletic department work with the Advancement Office to coordinate work with donors and prospective donors. 13. Oversee tracking of all development monies and work with Associate A.D. and Administrative Assistant to ensure that all monies are properly acknowledged and deposited into appropriate development accounts or other funds.
Status: Staff, full-time, 40 hours per week, 12 months per year.
