Summary: The Assistant/Associate Athletic Director for Compliance is responsible for the administration of all phases of a National Collegiate Athletic Association (NCAA) Division II compliance program. The Assistant/Associate Athletic Director for Compliance certifies athletic and academic eligibility as well as educates and monitors student-athletes, coaches, staff members, boosters, etc., to ensure institutional compliance with university, conference, and NCAA rules and regulations.
Specific Job Duties:
The Assistant/Associate Athletic Director for Compliance:
Certifies the initial eligibility of student-athletes, including transfer students, by working with the NCAA Eligibility Center.
Verifies the amateurism status of each incoming student in conjunction with the NCAA Eligibility Center.
Processes and certifies the continuing eligibility of current and continuing student-athletes.
Works collaboratively with the Director of Financial Aid to ensure that the university’s athletics program is in compliance with NCAA rules and regulations governing financial aid and assists with monitoring all financial aid awarded to student-athletes, including initial athletically-related aid and renewable athletically-related aid.
Provides rules education to student-athletes, coaches, department staff members, alumni, boosters, and other constituents, such as Admissions staff, Financial Aid staff, and the Registrar’s staff regarding conference and NCAA rules and regulations.
Monitors regulations governing recruiting, amateurism, awards and benefits, playing and practice seasons, and sports camps and clinics.
Ensures compliance with reporting requirements by assuming responsibility for filing all NCAA certification forms, squad list forms, drug consent forms, student-athlete statements, annual NCAA demographics report, etc., as required by the conference and the NCAA.
Completes and submits NCAA waivers, medical hardships, and student-athlete reinstatement forms as required by the conference and the NCAA.
Monitors compliance with playing and practice season legislation (hourly, daily, weekly, and seasonal restrictions).
Serves as primary NCAA rules interpreter for ESU coaches and staff.
Ensures that NCAA Certification of Compliance is properly completed annually and signed off by the ESU President in a timely manner.
Provides accurate lists of student-athletes to the Center for Drug Free Sport.
Maintains accurate records of participation for each sport to document officially the seasons of competition for each student-athlete.
Generates reports and informs each head coach of end of year eligibility deficiencies to enable student-athletes to correct in summer school.
Assists with the preparation of the NCAA Division II Self-Study every five years.
Works with Institutional Research in the preparation of the Academic Performance Reports and Academic Success Rate Reports.
Educates coaches and staff of official visit and NLI rules and monitors compliance with official visit and other NCAA/NLI rules.
Monitors the completion of the NCAA’s minimum number of credits each semester for each student-athlete and reports results to each respective coach and the PSAC.
Declares and communicates the ineligibility of student-athletes when appropriate and facilitates the student- athlete reinstatement process.
Communicates effectively with the Director of Athletics and the Faculty Athletics Representative concerning all matters of compliance, ineligibility, violations, reinstatements, etc.
Coordinates investigation of known and/or alleged rules violations, keeps the Director of Athletics, Senior Woman Administrator (SWA), and Faculty Athletics Representative (FAR) informed of all alleged and known violations, and handles all correspondence with the NCAA and affiliated conferences regarding rules violations and follow up responses.
Completes and submits the Equity in Athletics Disclosure Act (EADA) report annually.
Coordinates the National Letter of Intent (NLI) program.
Serves as a member of the ESU Compliance Committee.
Maintains all compliance-related print and digital files and materials.
Updates and maintains Compliance Assistant (CA) and ACS/Front Rush databases.
Maintains and submits accurate squad lists for all 20 teams.
Serves as primary sport administrator for specific sports, if assigned.
Serves as the on-site administrator for home events of assigned sports and for other home events as assigned by the Director of Athletics.
Travels with teams qualifying for NCAA post-season competition as assigned by Director of Athletics.
Attends department meetings.
Performs other job-related duties and special projects as assigned by the Director of Athletics.
Ability to perform routine office tasks, often under short turn-around times.
Ability to travel for the purpose of attending meetings and conferences.
Ability to conduct compliance duties under the pressure of tight deadlines.
Ability to concentrate for long periods of time while performing the administrative functions of an NCAA Division II compliance director.
Must be able to work in and contribute to a fast-paced, high energy NCAA Division II athletics office.
Education, Experience, and Skills:
Education: A Master’s degree is required with an emphasis in Sport Management, Sports Administration, Student Services, Higher Education Administration, Law, or a related field.
Experience: At least three years of administrative experience in compliance at the NCAA Division II level. A demonstrated knowledge of NCAA rules and compliance issues concerning the administration of intercollegiate athletics is required.
Skills: Strong organizational, interpersonal, and verbal and written communication skills are required. Ability to compile data and prepare, write, and review reports is required. Must have excellent computer skills with a working knowledge of MS Office and the ability to learn Compliance Assistant software, Banner, and ACS/Front Rush. Preferred skills are demonstrated use of Compliance Assistant (CA), LSDBi, Banner, ACS/Front Rush, and other computer application.
